The first week, teachers reach out via phone and email, and students also have a required online orientation meeting with the teacher. After that, the teacher contacts mainly via email. Mentors are copied on emails to students. If the student is performing poorly or does not respond via email the teacher will contact the parent and mentor to ask for assistance engaging the student. The teacher may also call the student, parent, or mentor if no response to email. Teachers maintain a communication log of the date and type of communication with the student.

We offer synchronous instructional contact once a week; however, it is not required (except for an initial orientation). Students are notified of the sessions via email from the teacher as well as course announcements. Teachers document a student’s attendance in a synchronous session in the communication log.

The communication log is available to the mentor upon request at any time during or after the course. The course and communication log is generally archived within 3 months of the end of the semester, so it is preferable that requests are made as soon as possible during or after the course enrollment. However, a secured back up copy is always kept and can be accessed if needed.

Written Student Learning Plans

Carone Fitness teachers develop the WSLP. Students are given a beginning and end date from the local school, and the course syllabus is used to specify the expectations and learning materials. A pacing chart is also included with more detailed expectations that we use as a template to customize the learning plan to each student.

Mentors do not need to participate in the creation of the learning plan, except to provide any necessary dates or helpful input pertaining to individual student needs, as well as playing a supportive role in helping the student stay on task.

Students can find the syllabus and pacing guide in the course. Also, the learning management system creates a basic schedule outline for students to help them see how quickly they need to move to be on track. It also provides a dashboard for students to see where they are behind in terms of schedule and performance. Additional communication about the learning plan is done via direct contact (initial phone contact, email, and online meeting). If the student does not respond via email, the teacher will contact the parent and mentor to ask for assistance engaging the student.

The mentor can request a copy of a student’s learning plan. We can also provide mentor access to the student’s course so he/she has access to a dashboard showing tracking and performance of his/her students.

Monthly Evaluations and Intervention Plans

Carone Fitness teachers prepare monthly evaluations, and they are emailed to the student, parent, and mentor. Students can also access their evaluation via their online course. If the student is performing poorly or does not respond via email, the teacher will contact the parent and mentor to ask for assistance engaging the student.

As outlined in the ALE rules, if a student is progressing unsatisfactorily, the teacher will prepare an intervention plan that includes a change in the frequency and mode of direct communication (reaching out additionally via email and phone to student, parent, and mentor, and further direct contact and instruction as needed per the situation).

The mentor’s role is that of student support, encouragement, and assistance with communication between the student and teacher when the student is non-responsive.
